SRF 2003: A few hints to prevent a red dot on the paper status board:

1.) Please take care that you are using the latest JACoW template for WORD or the latest style file for LaTeX (JAC2003) as mentioned on the previous page. This is necessary to prevent problems with fonts, paper size and section numbering.

2.) Please submit your source file plus all included graphic files and make sure that the names of the graphic files are the same as those you refer to in your manuscript.

3.) Do not submit a pdf file instead of a postscript file. The local editors cannot process pdf files.

Most common problems:

• Paper titles do not occur in capital letters
• Labels for figures or axes are unreadable
• Page numbering: Please do not number your pages
• Tables and figures are outside the required margins:

  Margins	A4 Paper	US Letter Paper
  Left	20 mm	20 mm (0.79 in)
  Right	20 mm	26 mm (1.0 in)
  Top	37 mm	19 mm (0.75 in)
  Bottom	19 mm	19 mm (0.75 in)

Usage of "bad" fonts in WORD:

Allowed are: TIMES (in roman, bold or italic), symbol and Zapf dingbats.

If your WORD application does not offer the TIMES font please use TIMES NEW ROMAN instead.
 

Too many type 3 fonts in LaTeX documents:

The Computer Modern type 3 font used by LaTeX as a default looks pretty bad in Acroread, because it is a bitmapped font. By using the latest JACoW style file the font will be changed, but this does not affect characters written in math mode. They still use Computer Modern type 3. Authors should give the following option to the dvips command to remove type 3 fonts:

The following shows the effect of using the wrong fonts in a PDF document. The document was prepared by the JACoW editorial team at CERN.

The American Association of Artificial Intelligence (AAAI) also presents a negative example of a LaTeX document with bitmapped fonts. They give a few more hints on how to optimize the paper layout. Please follow the link.

Authors using LaTeX on a PC and WinEdit should set the following parameters for the dvips converter to get rid of problems with type 3 fonts:

You can check the fonts in your paper by creating a pdf file first. Open that pdf document with Adobe Acrobat and check the fonts by clicking on the file drop down menu. Select Document Properties > Fonts and a pop-up window will appear. Click on "List all Fonts" and check the entries for the font types. Type 3 should not appear!
 

Big graphic files included in a document:

Sometimes the included graphics need too much time to be displayed with the Acrobat software. This happens commonly when graphics files have been generated from tracking simulations containing thousands of particle spots. Authors should check their prepared postscript file with ghostview or ghostscript to see how long it takes to display those pages.
 

Last hint: The paper name

You will receive a paper identifier for each paper for which you have submitted an abstract. This identifier should be the name of the source and the postscript file. If figures are included they should be named in ascending order.

Example for a WORD document: Paper-ID = MoP05
